The front office, answered every time.

A phone that rings out is a booked appointment that never happens, an eligibility check that never runs, and a denial three weeks later. We staff the phones, verify the coverage, fill the schedule and chase the confirmations — in your practice’s name, on your calendar.

How it runs

Every call does two jobs

Booking the appointment is the obvious one. Getting the coverage right before the visit is the one that decides whether the claim pays.

A day on the phones

Continuous
InboundCall answeredA person, in your practice’s name, during your hours.
CheckEligibility verifiedCoverage and benefits confirmed while the patient is still on the line.
BookSlot filledScheduled into the slots and rules your practice set, not ours.
OutboundReminder sequenceConfirmation calls ahead of the visit, on the cadence you choose.
RecoverNo-show workedMissed appointments called back and rebooked, not written off.
BillingClean front endCoverage and demographics correct before the claim is ever built.
Patients due for an Annual Wellness Visit are flagged during the same call, so a routine booking also closes a preventive gap instead of costing a second phone call later.
The economics

An empty slot is the expensive one

Published research, not our client results.

Where practice phone time actually goes

45 percent of practice phone time goes to eligibility and prior authorization45%eligibility & auth

Nearly half of the phone workload is insurance admin, not patients. It is also the half that does not need to sit in your office.

Source: MGMA Stat, 2026 — 294 practice responses. Scheduling accounts for a further 31%.

What a missed appointment costs

Mean no-show rate, outpatient clinics18.8%
Range across specialties12.6–25.7%
Annual revenue shortfall, clinic income3–14%

The cost is not only the empty slot. It is the follow-up that never happened and the gap that stayed open.

Questions we get

Before you ask

Will patients know they are talking to an outside team?

They are talking to your practice. We answer in your name, work from your schedule and follow your rules. We do not pretend to be clinical staff, and anything clinical goes straight to your team.

What about calls outside our hours?

We cover the hours you set. Outside them, callers get the message you choose. Patients enrolled in a care program also have the 24/7 nurse line, which is a separate service and a clinical one.

Can you work inside our scheduling system?

Yes — we work in your EMR and practice management system so the schedule, the notes and the eligibility check all live where your staff already look. No second platform.

What happens when someone calls to complain?

It gets logged and escalated to you the same day. We are not there to absorb complaints quietly; you should know what patients are unhappy about.

See what your practice is leaving on the table

A 30-minute call. Tell us roughly how many Medicare patients you see, which EMR you use and what you already run in-house. We come back with which programs your patients qualify for, what each one would take to run, and what it is likely to be worth.
